Program Terms
Effective September 25, 2026.
These terms apply to every program sold by Pure 5 HR, LLC ("Pure 5 HR," "we," "us"), to a company or organization ("you"). Your signed proposal and client agreement give the details for your program. If anything in them differs from this page, your signed agreement controls.
1. Your program and price
- Every program is quoted as one all-in price for the items listed in your proposal.
- Your price includes only what the proposal lists. Personal expenses, room charges, extra food and drinks, and airfare are not included unless listed.
- Taxes are included unless the proposal says otherwise.
- Each proposal has an expiration date. Prices and availability can change until you sign and your deposit clears.
- Nothing is reserved until you sign and your deposit clears.
2. Payments
- Your deposit is due within 3 business days of signing.
- Your final balance is due by the date in your proposal.
- If you book after the final payment date has already passed, full payment is due when you sign.
- We accept the payment methods listed in your proposal.
- If a payment is late, we may cancel your program. A cancellation for late payment is treated as a cancellation by you (Section 5).
3. Guest names and changes
- Guest names are due by the date in your proposal.
- Name changes are allowed when the event, venue, hotel, or airline allows them. Any added cost is passed on to you.
- Adding guests depends on availability and is priced at the time.
4. Tickets and credentials
- We deliver tickets, passes, and credentials before the event. Some events release them only a few days ahead or on event day.
- Tickets and credentials are subject to the event's and venue's own terms.
- They may not be resold, transferred outside your guest group, or used for advertising, contests, giveaways, or promotions without the event's written consent. Doing so can void them without a refund.
5. If you cancel
- Cancellations must be in writing.
- We use your deposit right away to secure tickets, hospitality, and space. Once your program is confirmed, your deposit is nonrefundable.
- After the final payment date, all payments are nonrefundable.
- If we can resell or recover any part of your program, we will credit or refund what we recover, minus the costs of doing so.
- No refunds are given for no-shows or for parts of a program your guests don't use.
6. If the event is canceled, postponed, or changed
- Canceled: we pass on to you whatever refund or credit we recover from the event and our suppliers, minus costs we cannot recover and the planning and management work already completed.
- Postponed: we will work to move your program to the new date. If the new date costs more, you pay the difference. If it costs less, we credit the savings.
- Changed: changes to schedules, teams, players, performers, seat locations within a comparable area, or weather delays are not grounds for a refund.
7. If we have to cancel
If we cancel your program for any reason other than one covered in Section 6 or Section 15, we refund all money you paid for the canceled part. That refund is the full extent of our responsibility.
8. Substitutions
We may replace a hotel, seating area, hospitality space, vehicle, or activity with one of equal or better quality when needed. We will tell you as soon as we can.
9. Guest conduct and safety
- Guests must follow the law and all event, venue, hotel, and transportation rules.
- Guests must be 21 or older to be served alcohol. Minors must be supervised by an adult at all times.
- We, the venue, or the event may remove any guest whose behavior is unsafe, illegal, or disruptive, without a refund.
- You are responsible for damage caused by your guests.
- Live events carry risks, including crowds, weather, and illness. Each guest attends at their own risk.
10. Your company's rules and your guests' information
- You are responsible for making sure the program fits your company's policies and any laws on gifts and entertainment that apply to you or your guests. Some guests, such as government employees and health care professionals, may be limited in what they can accept.
- You confirm that you have permission to share your guests' information with us. We use it only to plan, personalize, and run your program, and we share it only with the suppliers who need it (for example, hotels, venues, and drivers).
11. Our suppliers
Hotels, venues, transportation companies, restaurants, and other suppliers are independent businesses. We choose them with care, but we don't control them and are not responsible for their acts or failures. Their own terms also apply.
12. Accessibility and special needs
Tell us about any accessibility, dietary, or medical needs when you book. We will pass requests to our suppliers and do our best, but we can't guarantee them.
13. Travel insurance
Travel insurance is not included unless your proposal lists it. We recommend each traveling guest consider it.
14. Photos
We may take photos during your program to create keepsakes for you and your guests. We will not use photos or video of you or your guests in our marketing without your written OK.
15. Events outside our control
We are not responsible for failures or delays caused by events outside our reasonable control, such as severe weather, natural disasters, public health orders, government action, strikes, power or transportation outages, or event decisions made by the organizer.
16. Payment disputes
If you have a billing concern, please contact us first so we can fix it. Filing a card chargeback for services that were delivered as agreed is a breach of these terms, and you agree to pay reasonable costs of collecting amounts owed.
17. Limit of liability
We are not liable for indirect, special, or lost-profit damages. Our total liability for any claim about a program will not be more than the amount you paid us for that program.
18. Concerns and disputes
- Please send any concern about your program in writing within 30 days after the event.
- These terms are governed by the laws of the State of Iowa. Any legal dispute will be handled in the state or federal courts serving Linn County, Iowa.
19. Independent company
Pure 5 HR, LLC is an independent company. We are not affiliated with or endorsed by any team, league, venue, or event unless your proposal says so in writing. Event and team names are used only to describe events.
20. Where we offer programs
Some states require us to register or get approval before we sell programs to companies based there. If that applies to you, we will get it before we sign an agreement.
21. Changes to these terms
We may update these terms. The version in effect when you sign your agreement applies to your program.
